Event Coordinator 

The Event Admin will support the Events Department with administrative tasks relating to our event business, as well as event day client management to ensure events run smoothly and efficiently. They should be self-motivated with strong attention to detail, a passion for organization, and have excellent interpersonal and communication skills. The ideal candidate for this position will have previous event coordination experience as well as experience supervising floor staff. 

Key Responsibilities 

Administrative 

  • Physical & digital document organization and filing
  • Support event team members with event form creation, organization, and upkeep 
  • Manage all BEOs, floorplans (social tables), and other administrative documents for events
  • Creation and execution of printed collateral for events including menus, signage, etc.
  • Assist with any other administrative needs that arise
  • Act as supplemental point of contact for private event clients on event days
  • Proactively engage with guests to ensure a positive experience 
  • Liaise with external vendors for load in / load out on event days

Event Service 

  • Monitors staff’s performance and provides feedback to Event Staff during events
  • Proactively engages with guests to ensure a positive guest experience 
  • Handles guest concerns and reacts quickly and professionally 
  • Assists and completes all inventory logs (alcohol consumption, event item inventory, etc 
  • Oversees and guides events and event staff event-to-event 
  • Set up, move, flip, and break down tables, chairs, bars and other event items in accordance with event floorplans to ready the space before, during and after each event.
  • Implement event execution procedures as per the Director of Event Operations’ vision and standards
